πŸŽ™οΈ Learn how to speak your inspection comments for accurate, automated report generation β€” and how to set up your report to ensure best results.

To ensure InspectionX understands and places your comments accurately, it's important to follow a consistent sentence structure when recording your audio.

The ideal format is:

Component, Element, Rating (optional), Defect, Location

Below are examples and detailed instructions to help you get it right:

1. πŸ”Š Adding Comments to Your Report
βž• Add a Comment in a Standard (Non-Duplicated) component

Say the component, element, and comment.

βœ…Bathroom, Sink, Leak at P-trap

2. πŸ“ Specifying Location

Say the location immediately after the defect comment.

This will replace any β€œLOCATION” wildcards in your template comment.

βœ… Roofing, Fascia, Poor, rotted wood at left elevation

βœ… Exterior Elements, Railings, loose railing at rear porch

3 πŸ” Automatically Creating Duplicated Components

To add a comment to a duplicated component (like multiple bathrooms or AC units), include a

number after the component name.

βœ… Bathroom 1, Sink, Leak at P-trap

βœ… Air conditioning 2, Air Handler, dirty coils
If that section (e.g., Bathroom 1) does not exist yet, InspectionX will automatically create and label it

for you. Use sequential numbers to continue duplicating as needed: Bathroom 2, Bathroom 3 , etc.

3. 🏷️ Specifying Ratings

Say the rating immediately after the element name.

βœ…Bathroom, Sink, Poor. Sink is leaking

βœ…Bathroom 1, Sink, Fair. Some rust at drain
Ratings supported: Fair, Poor, Satisfactory, Not Inspected, Excluded

If no rating is stated, "Fair" is used by default.

4. 🧱 Adding Styles and Materials

Say: component, number (if needed), Styles and Materials, and your notes.

βœ… Roofing, Styles and Materials, asphalt shingles, estimated age 15 years, inspected with drone

βœ… Bathroom 1, Styles and Materials, master bath with window ventilation and ceramic tiles

6. 🚫 Not Inspected

You can mark items as Not Inspected β€” not whole components:

βœ… Exterior Elements, Deck or Porch, Not Inspected

❌ Exterior Elements, Not Inspected ← This will not work β€” you must name the element.

8. πŸ—‘οΈ Excluding Items from the Report

When you want to completely exclude the element

from the report, simply state β€œExcluded” after the item name.

βœ… Plumbing, Bathtub, Excluded

βœ… Kitchen, Garbage Disposal, Excluded
❌Plumbing, Excluded ← This will not work β€” you must name the element.

5. πŸ’‘ Tips and Tricks

Use the exact names from your template:

βœ…Exterior Elements ❌ Outside Walls

One defect per sentence:

❌ Exterior Elements, Railings, loose and weathered

βœ… Exterior Elements, Railings, loose

βœ… Exterior Elements, Railings, weathered

Focus on the issue β€” not the recommendation (unless you intent to create a new comment)

❌Garage door sticks and should be repaired to avoid motor damage

βœ…Garage, Door, binds out of track

Don’t add general property or report info in voice:

❌ Client name is John Doe

❌ Report number 12512
